Organizing a successful event in one city is demanding enough; delivering it across two cities in back-to-back days is an entirely different challenge. When a global technology giant engaged Channel Technologies to host a multi-city event/training series on Security, AI, and Sustainability; precision, creativity, and resilience became the pillars of execution.

In this multi-city event execution case study, we show how CT managed back-to-back sessions across Delhi and Mumbai. The goal was simple yet ambitious: conduct two high-quality training workshops in both the cities, each with back-to-back morning and evening sessions, while ensuring a consistent brand and learning experience for every participant.

Client Background & Training Event Objectives

The client—a leading IT and technology company with operations in over 150 countries—wanted to create an event that not only showcased thought leadership but also reaffirmed their services powered by next-gen technologies.

For Channel Technologies, this was more than logistics management. It was about curating an experience that balanced high-end technical content, a seamless attendee journey, and room for meaningful networking—all within a compressed two-day schedule.

Challenges Faced in This Multi-city Event Execution

This multi-city event execution case study posed unique logistical and technical challenges. Every event has its hurdles, so did this one:

  • Executing events within a 48-hour window meant tight coordination of travel, logistics, equipment, and manpower.
  • Heavy rains threatened attendance, commute times, and equipment safety. Therefore, this one was on priority lookout.
  • Two different cities, two different venues—and the client needed one coherent and consistent brand experience.
  • Security and AI are technical subjects. Designing sessions that kept participants invested and interactive was crucial.
  • The smallest AV glitch could erode the impact, so flawless sound, visuals, and connectivity were non-negotiable.

Channel Technologies’ Multi-city Event Execution Strategy Across Both Cities

To navigate these challenges in this multi-city event, the team took a structured approach:

  • Teams were guided to handle any sudden requirements swiftly and effectively.
  • Staying consistent with our execution process, we used a checklist to capture every last-minute detail.
  • Crafted city-specific strategies assigning clear on-ground responsibilities in Delhi and Mumbai.
  • Carried out venue recces and dry runs to validate technical setups, accessibility, and contingency backups beforehand.
  • Introduced buffer schedules and sheltered logistics to safeguard AV equipment and mitigate rain-related delays in Mumbai.
  • Standardized branding across both locations, ensuring that regardless of city, the event echoes the same messaging and identity.
  • Placed dedicated teams at each venue for end-to-end coordination and execution.
  • Built sessions around expert-led discussions, with interactive Q&A and networking opportunities to keep the audience engaged beyond the presentations.

Event Outcomes & Participant Engagement

Over two days, the event brought together 262 participants—177 in Delhi and 85 in Mumbai—each spending more than two hours in knowledge-rich training followed by vibrant networking sessions.

Despite the challenges, both venues delivered an equally engaging, consistent brand and participant experience. Feedback was highly positive, participants and partners appreciated the content quality and smooth management, and the flawless execution.
